Location: Ukraine

Starting date: September 2023

The Administrative and Logistics Coordinator will support operational capacity of the Ukraine team by providing administrative, financial, and logistical support for HD’s activities.

Key responsibilities are:

  • Serve as logistics focal point for Ukraine project;
  • Help with travel arrangements for staff and consultants, as well as events participants;
  • Arrange meetings for visiting HD staff and experts, and coordinate logistics for HD events;
  • Arrange interpretation for HD meetings;
  • Help with DSA (per diems) and other reimbursements for participants, HD staff and consultants;
  • Manage procurement of office-related goods and services, including communications and information technology needs;
  • Liaise with service providers, including on office and accommodation rental, printing and design of publications, and other matters;
  • Follow up on contracts, invoices and payments to office related suppliers;
  • Convey documents for translation (English-Russian-Ukrainian);
  • Help to find and to test new translators and interpreters in order to enlarge HD’s translator pool.

The ideal candidate should have:

  • Experience in travel management and administrative processes;
  • Excellent grasp of English, Ukrainian and Russian languages;
  • Organizational, administrative and people skills;
  • Experience in planning meetings and events;
  • Ability to coordinate between different stakeholders at short notice;
  • Flexibility in the assigned tasks and in reassessment of priorities;
  • Willingness to travel internationally.

The position will report to the Finance, HR and Admin Officer in Ukraine.
